How to write a tourist visa cover letter that embassies trust

A good cover letter answers the visa officer's questions before they ask them. Here's the structure we use for thousands of applications.

A cover letter is your chance to explain your trip in your own words. Visa officers read hundreds of files a day — a clear, honest letter makes their job easier and your application stronger.

What a cover letter must cover

  • Who you are: name, passport number, occupation and employer or business.
  • Why you're travelling: tourism, a family visit, a conference — be specific.
  • Where and when: dates, cities and where you'll stay each night.
  • Who pays: you, your employer or a sponsor, with the documents that prove it.
  • Why you'll return: your job, business, family and property in India.

Keep it consistent

Every date, city and amount in the letter must match your itinerary, hotel bookings, flight reservation and bank statements. Inconsistencies are one of the most common reasons for refusal.

Keep it short

One page is ideal. Use plain language and avoid copying templates word-for-word — officers recognise them.
